Your team shouldn’t have to start from scratch each time. We can build a shared, searchable prompt database with clear instructions, examples and checks for tasks they do regularly.

Learn through real tasks
We can run hands-on sessions using tasks your team recognises. Staff will practise asking useful questions, handling information safely and checking the answers. Their feedback will help us improve the shared prompts.

Good prompts, all in one place.
We could start with everyday jobs such as drafting emails, summarising meeting notes, reviewing documents and planning work. Together, we’ll choose the tasks that matter most and use approved examples to test the prompts.

We’ll agree what progress looks like before training starts. That could mean completing an everyday task, finding the right prompt and spotting an answer that needs correcting. If we measure time saved, we’ll first record how long the task takes today.

The prompt database and additional training are not included in these prices and require a separate agreed scope. Business Premium migration is a prerequisite
The proposal bases Copilot Business licensing on the separately discussed migration of all users to Microsoft 365 Business Premium at renewal. It states that Copilot Business is not compatible with the existing Office 365 E3 licences. Users staying on Office 365 E3 require Microsoft Copilot licensing instead.
Business Premium migration and subscription costs are not included in the quoted licensing lines above. Validate licensing and deployment timing before assigning the pilot licences.
SCOPE & DEPENDENCIES
Here’s what we’ll need from you.

Kick off and confirm access
Receive the deposit, prepare the Statement of Work, hold internal and customer kickoffs, validate technical assumptions and agree the project timeline.

Bring the right people into the conversation
We’ll need input from the people who know your work and systems. Their answers will help us choose pilot users and make useful recommendations.

Approve AI service classifications
Nhulunbuy determines Approved, Restricted and Monitored services with Hexicor’s recommendations. Copilot and Copilot Chat are the proposed approved platforms.

Check everything is ready
Before the pilot starts, we’ll confirm licences, migration timing, access permissions, agreed fixes and how we’ll judge success.
Included allowance and ongoing responsibilities
Six hours of permission and sharing remediation are included. Additional requirements receive separate recommendations and effort estimates.
Copilot uses existing Microsoft 365 permissions. Nhulunbuy remains responsible for information storage, sharing and access, and for ownership and maintenance of AI governance and acceptable use policies.
The governance stage includes creating a scheduled service ticket for quarterly app reviews. The proposal does not separately price an ongoing managed service.
Work outside this proposal
Additional adoption, training and change management; business process redesign; organisational transformation; department-specific AI use case development; custom AI solutions; Copilot Studio agents; custom connectors; workflow automation; and third-party system integrations are excluded unless expressly scoped.
Information architecture redesign, records management, document classification and large-scale data governance remediation are also excluded unless expressly scoped. Alternative AI platforms may require a scope review.
The program is centred on Microsoft Copilot and Copilot Chat. Additional recommended services or specialist adoption partner work are separate.
Commercial terms and formal acceptance
The original proposal incorporates Hexicor’s General Service Terms and Specific Service Terms and describes a one-year service term, subject to extension. Freight and shipping may be charged at cost in addition to the quoted amounts.
Additional or non-fixed-fee work is subject to the labour rates, after-hours loadings, billing increments and call-out fees listed on pages 16–17 of the original proposal. Labour rates are subject to annual CPI increases on 1 July.
Formal acceptance is completed using the original proposal’s signature and purchase order section. This site presents the proposal for review; it does not record acceptance.
